Floating Litigation Legal Secretary – Silicon Valley

 Hoge Fenton is actively recruiting for a Floating Litigation Legal Secretary. The primary responsibility of this role is to perform secretarial and administrative duties to support attorneys, paralegals and the litigation secretarial team with overflow work, including preparing, formatting, and finalizing various legal documents such as correspondence, Judicial Counsel Forms, contracts, briefs, motions, summonses, complaints, answers, discovery shells, shells for moving papers, etc. Also responsible for helping with opening and closing files; setting up CourtCall appearances, scheduling court reporters and conference rooms; editing attorney pre-bills, and uploading and downloading documents to and from Sharefile, etc.  This person will also perform as back-up on our central calendar docketing system, as well as covering desks when other litigation secretaries are out of the office.

A successful candidate will have: at least three years in the secretarial field where heavy electronic correspondence and organizational skills were the primary duties; strong skills with Microsoft Word, Outlook, and Excel, with an emphasis on having strong word processing skills vis-à-vis litigation document formatting; knowledge of legal calendaring; and a keen attention to detail. The role requires that candidates be:  a high school graduate (or equivalent); able to calmly to work under the pressure of deadlines; able to prioritize, multitask and manage deadlines; able to think critically and analytically in a fast-paced environment; able to clearly and effectively communicate with varying levels of people within and outside the organization; and able to work productively and cooperatively with other employees.

Administrative Assistant – Silicon Valley

 Hoge Fenton is actively recruiting for an Administrative Assistant to perform administrative duties in support of the firm’s Executive Director, HR and Operations Manager, and Chief of Finance. Primary duties include assisting with recruiting new employees and onboarding new hires, coordinating updates to the library resources; helping with various facilities and property management issues, assisting with bank reconciliations and other finance-related duties, and other miscellaneous administrative duties.

A successful candidate will have: a high school education or equivalent, Bachelor’s Degree preferred; at least two years experience in an office environment where organizational skills were the primary duties; familiarity with Microsoft Word, Outlook, Excel; the ability to work under pressure of deadlines, have a keen attention to detail, and the ability to prioritize, multitask and manage deadlines; and excellent verbal and written communication skills to interface with attorneys, clients, vendors, and other staff members.

This role will be primarily located in the San Jose office.

IP Legal Secretary – Silicon Valley

We are recruiting for a full-time legal assistant in our downtown San Jose office, effective immediately. This position supports the firm’s Intellectual Property /Privacy / Data Security team of professionals.

Job duties include, but are not limited to:

  • Client communication (written and oral)
  • Opening new business & closing client matters
  • Maintaining attorney calendars
  • Docketing reminders and deadlines
  • Handling incoming and outgoing mail/shipping
  • Typing, editing, proofreading and finalizing documents
  • Organizing & maintaining documents and files
  • Preparing attorney expense reports
  • Primarily a transactions desk, but there is occasional litigation work

Superior attention to detail and the ability to prioritize workload (with direction) is required. Office software skills (including Microsoft Office suite and strong keyboarding) are a must. While IP-specific knowledge and exposure to programs such as WebTMS is not required (we will train), it is a plus. Must be able to think critically, communicate clearly and effectively with others in the firm, and work collaboratively and cooperatively.

College degree is desired.

Attorney Positions

Of Counsel – Silicon Valley or Tri-Valley

Hoge Fenton, a venerable multi-service law firm headquartered in downtown San Jose, is recruiting for a senior-level attorney (8 years+) for our Employment Law group, both to help grow our employment law litigation practice as well as assist our clients in navigating complicated employment law issues. In addition to having been a trusted advisor for clients, it is expected that this person would have extensive employment litigation experience, including harassment, discrimination, and retaliation defense; class action defense; PAGA action defense; defense and prosecution of trade secret actions; and defense of wage & hour claims, as well as experience appearing before entities such as the EEOC, DFEH, DLSE, and CUIAB. This person will have at least a partial book of portable business.

This position may be based either in our Tri-Valley (Pleasanton) or Silicon Valley (downtown San Jose) office. Periodic travel to the other office may be necessary.

Privacy / Data Security Associate – Silicon Valley

Hoge Fenton has an immediate opening for a Privacy / Data Security associate attorney. This position is primarily transactions and regulatory compliance work and is based in our Silicon Valley (downtown San Jose) office.

Knowledge and experience in privacy, data security, and related transactions is required. Some litigation experience is a plus. Primary responsibilities include:

  • Privacy: Contracts, policies, regulatory compliance, advice & counsel
  • Data Security: Contracts, data breach response/management/remediation, information security plans, compliance advice & counsel
  • Tech & Commercial Transactions: Data security, protection, transfer, and sharing agreements, SaaS, API, licensing, online Terms of Use / Terms of Service, manufacturing, distributor, and reseller agreements

Job Requirements

The candidate must have:

  • 3+ years of experience as a practicing attorney (or commensurate industry experience), preferably some of which has been in the private law firm environment

Although not required, it is helpful if the candidate has familiarity with laws, regulations, and industry standards such as California Consumer Privacy Act (CCPA), General Data Protection Regulation (GDPR), Payment Card Industry Data Security Standard (PCI DSS), Health Information Portability and Accountability Act (HIPAA), Gramm-Leach-Bliley Act (GLBA), National Institute of Standards & Technology (NIST) SP800-53 and Cybersecurity Framework, and International Organization for Standardization (ISO) series 27001/2, 27005, 31000.
